How to Use the Project Plan Template
Get started in 5 minutes. Here’s the step-by-step process.
Download and open
Download the Excel file above. Open it in Excel 365, 2024, or 2021. Click “Enable Editing” if prompted — the template uses conditional formatting, not macros.
Enter project details
Fill in the project name, project manager, start date, and expected end date at the top. This populates the header and summary section automatically.
Replace sample tasks with yours
Delete the sample data and enter your tasks. For each task: name, owner, start date, end date, and priority. Group related tasks under phase headings (Planning, Execution, Testing, etc.).
Update progress weekly
As work progresses, update the Progress (%) column. The Gantt chart, status column, and summary dashboard all update automatically. Share with stakeholders for reviews.
Monitor and adjust
Watch for red “Delayed” status flags. Adjust dates and resources as needed. The template tracks planned vs. actual so you can improve estimates on future projects.
